Information and general Data Protection Regulations 2018

 

As an Independent Celebrant, I am committed to protecting your privacy and data, and the following is my data promise to you.  I will only use the information that I collect about you in accordance with the General Data Protection Regulations 2018 (GDPR) and the Privacy and Electronic Communications Regulations 2003. When collecting your data, I will aim to do so in a clear and concise manner ensuring not to do anything that you would not reasonably expect.  This Data Promise sets out the ways in which I will use your data and how you can hold me accountable for that. 

  1. THE INFORMATION I WILL COLLECT 
  • When receiving instructions to conduct a funeral service on behalf of you and/or your Funeral Director, I will take sufficient information at the time of the booking to secure the referral and to make contact with you to arrange a family visit.   
  • During the family visit, whilst I will be gathering data concerning the person who has died (which is outwith the General Data Protection Regulations as the legislation does not relate to a deceased person) I will need to know the following:   
  • Your name
  • Your relationship to the person who has died
  • Your email address
  • Contact telephone number including mobile number
  • Whether I can contact you at work 
  1. THE FUNERAL SCRIPT 
  • The Funeral Script will include information you provide to me to tell a story about the person who has died. You will receive a draft of the script prior to the funeral service and your personal information will not be included in the script without your express permission. 
  1. HOW I WILL USE YOUR DATA 
  • I will only use your data to contact you about the script I am producing for the funeral service for which I have been retained. 
  • You have the option to change any of your contact preferences at any time by contacting me. 
  1. KEEPING YOUR DATA SAFE 
  • Your data will be held and processed on my computer system. It will always be held securely and can only be accessed by me. 
  • I may need to disclose your details, if required, to other third parties and I will only ever share your data in other circumstances if I have your explicit and informed consent. 
  • I will retain your data including manuscript notes taken at the family visit during the time it takes to produce a final script for the funeral service. This information will be kept securely stored away in a locked filing cabinet and can only be accessed by me. 
  • A copy of the final script will be retained on my computer for a period of up to 18 months after the date of the funeral in the event a family member or other person requires a further or additional copy which is available on request (a fee may be payable). If the request is from a person who is not a family member or next of kin, the permission of the family member or next of kin will be required before a copy of the final script will be released. 
  1. DESTROYING PERSONAL DATA 
  • All the manuscript data I collect will be destroyed immediately after the funeral has taken place. 
  • The electronic copy of the final script will be deleted from my computer 18 months after the funeral has taken place. 
  • I adopt Statutory Retention Periods, and I will personally securely destroy any data or sensitive information that is no longer required. 
  1. CHANGES TO THIS PROMISE 
  • I may make changes to this Promise from time to time and if/when legislation changes. If I make any significant changes in the way I treat your personal information, I will make this clear and contact you direct. 
  1. YOUR RIGHTS 
  • You have the following rights relating to your personal data: 
  • A right to request a copy of personal information held about you
  • A right to object to processing that is likely to cause or is causing damage or distress
  • A right in certain circumstances to have inaccurate personal data rectified, blocked, erased or destroyed, and
  • A right to claim for compensation for damages caused by a breach of the General Data Protection Regulation (GDPR)
